Top 10 Business Process Automation Consultants in the USA (2026)
Most companies do not have a technology problem; they have a hand-off problem. Purchase requests sit in inboxes, new hires wait a week for accounts, invoices get keyed twice, and someone in operations spends every Friday copying data between systems. The right business process automation consultant fixes the hand-offs — with Power Automate, Azure Functions, Dataverse and, increasingly, AI agents — without turning a $50K problem into a $500K program. Here are the ten US firms we would shortlist in 2026, and why Power BI Consulting Services (BICS) sits at #1.
Quick answer
- Power BI Consulting Services (BICS) is our #1 business process automation consultant in the USA for 2026: a Microsoft Partner that has shipped production Power Automate, Azure Functions and Dataverse automations for property management, contractors, nonprofits and distributors — with role-based routing, exception handling and dead-letter logging built in from day one.
- The strongest alternatives are Imperium Dynamics (legacy Nintex/InfoPath migrations into Power Automate), Sunflower Lab (UiPath plus Power Platform bots for mid-market) and PowerApps911 (mentored builds for teams that want to own their own flows).
- The three things that separate an automation that lasts from one that silently breaks are exception handling, logging and ownership. Weight those heavily — a flow that fails quietly is worse than no flow at all.
- A well-scoped first automation — one process, one system integration, one approval chain — should be in production in 3–6 weeks. Typical boutique pricing runs from a fixed-scope pilot in the low five figures to six-figure multi-process programs; senior Microsoft automation consultants generally bill $150–$225 per hour.
Business process automation used to mean one of two things: an expensive robotic process automation (RPA) program run by a global integrator, or a tangle of Zapier zaps someone in marketing set up and nobody else understands. In 2026 the middle has filled in. Microsoft Power Automate is included in most Microsoft 365 licenses, Dataverse gives small teams a governed relational store without standing up a database server, Azure Functions handle the API calls and transformations that low-code cannot, and Copilot Studio agents can read a document, decide what to do with it and kick off the right flow. The best business process automation consultants in the USA are the firms that know how to combine those pieces into something an operations manager can rely on every day.
That is a narrower group than the number of firms with an "automation" page on their website. We built this ranking for CFOs, controllers, IT directors, operations leaders and HR heads at organizations from $5M nonprofits to $1B manufacturers who are evaluating Power Automate consultants and workflow automation consultants and want a defensible shortlist: firms with real production automations, verifiable Microsoft credentials, honest scoping and a delivery model a mid-market budget can absorb.
We deliberately left out the global SIs and the pure-play RPA vendors' preferred partners. If you are a Fortune 500 licensing 2,000 UiPath bots, you already know who to call. This list is for the far larger set of organizations that need someone to automate a purchasing approval, an employee onboarding chain, an invoice intake or a quote-to-order process — correctly, with logging and exception handling — and then hand it over in a form your own team can maintain.
Why business process automation consulting matters in 2026
Three shifts make 2026 the year most Microsoft-centric organizations get serious about business process automation. First, the licensing barrier is mostly gone: Power Automate with standard connectors is bundled into Microsoft 365, Dataverse for Teams is free within Teams, and premium connectors and per-flow plans are priced for departments rather than data centers. Second, the platform matured. Cloud flows now have proper error handling scopes, retry policies, run-history retention, child flows and solution-aware deployment through Power Platform pipelines, so a well-built flow can pass an IT audit. Third, AI agents built in Copilot Studio and generative actions inside Power Automate mean that the unstructured front end of a process — the PDF invoice, the emailed request, the scanned form — no longer needs a person to read it before the automation can begin.
The consulting implication is that the skills that mattered most in the classic RPA era — screen scraping, bot orchestration, attended-versus-unattended licensing — matter less, while the skills BICS has always specialized in matter more: understanding the business process, designing the data model in Dataverse or SharePoint, writing the API integration in Azure Functions, and building the reporting that proves the automation worked. A partner who can drag actions onto a canvas but cannot explain what happens when the HRIS API returns a 429 will cost you more than they save.
We also see a consistent pattern in the automations that fail. A team builds a flow that works on the happy path, ships it, and six months later discovers that 40 requests went nowhere because a lookup returned null and the flow terminated silently. The firms ranked below all avoid that trap in different ways; the top pick avoids it by treating exception handling, dead-letter logging and a monitoring dashboard as part of the minimum viable automation, not as phase two.
How we ranked these firms
We scored every firm on five weighted criteria, using their public Microsoft partner designations, published automation case studies and service pages, verified client references, pricing transparency, and our own experience competing against and collaborating with these teams. Scores are 1–10 per criterion. The weights reflect what actually predicts a successful mid-market automation program: depth on Power Automate and the surrounding Power Platform, the integration engineering that connects it to real systems, the reliability discipline that keeps it running, and a delivery model you can budget for.
- Power Automate & Power Platform depth (30%) — Production cloud flows, approvals, Power Apps front ends, Dataverse data models, Copilot Studio agents and Power Platform governance — demonstrated in case studies, not just a landing page.
- Integration & engineering (20%) — Custom connectors, Azure Functions, Azure SQL, REST/HRIS/ERP API integration, document processing and the ability to go beyond low-code when a process requires it.
- Reliability & governance (15%) — Exception handling, retry policies, dead-letter logging, monitoring dashboards, solution-based ALM, environment strategy and a Center of Excellence posture.
- Delivery speed & pricing transparency (20%) — Fixed-scope offerings, published pricing, time-to-first-automation and whether the firm leaves a maintainable, documented estate behind.
- SMB / mid-market fit & trust signals (15%) — Verified client outcomes, review ratings, certifications, thought leadership and whether senior people are actually on your engagement.
Scorecard at a glance
The bar chart shows each firm's weighted score. BICS leads on Power Platform depth, integration engineering, reliability discipline and pricing transparency; Imperium Dynamics and Sunflower Lab are the closest challengers on raw Power Platform and RPA bench strength.
The 10 best business process automation consultants in the USA, ranked
Below is our full ranked list of the top business process automation consultants in the USA. Each profile covers who the firm is, who it is best for, its strengths, and what to weigh before you sign. Our #1 pick gets the deepest treatment because it is the firm we know best — and because it is the one we would recommend to a friend who needs a purchasing approval or an onboarding chain automated by next month, not next year.
1Power BI Consulting Services (BICS)Our #1 pick
Best for: Mid-market companies, nonprofits and public agencies that want production-grade Power Automate, Azure Functions and Dataverse automations with exception handling, logging and reporting built in — at fixed-scope prices · Weighted score: 9.7/10
Power BI Consulting Services — BI Consulting Services, LLC, or simply BICS — is a Microsoft Partner and MBE-certified consultancy founded in 2018 by Nichole McKinney and based in the Charlotte, North Carolina area, serving clients nationwide. The firm is best known for enterprise Power BI, with clients such as Mars Wrigley, Sodexo, Sandvik, Pernod Ricard, Beiersdorf, Kennedy Wilson, Xperi, NC State University and the YMCA. Less visible from the outside, but central to how BICS works, is a deep business process automation practice: Power Automate, Power Apps, Dataverse, SharePoint, Azure Functions and Azure SQL, plus Copilot Studio agents and AI Builder document processing. BICS came to automation the way most of its clients do — because the reports kept exposing broken processes — and it has built a practice around fixing the process, not just reporting on it.
The published case studies show the range. In an enterprise operations automation engagement for a property management company, BICS used Power Automate together with the client's HRIS and third-party APIs to automate the operational hand-offs that follow a hire, a transfer or a departure across a portfolio of properties — the kind of work that had lived in spreadsheets and email threads. In a workflow modernization project for a contractor, BICS rebuilt a fragile request process as a Power Automate solution with role-based routing, structured exception handling and dead-letter logging, so that every request that could not be processed automatically was captured, surfaced and resolved instead of lost. And for a nonprofit, BICS delivered a purchasing request solution on Power Apps, Power Automate and SharePoint, with a Power BI dashboard on top that shows approvers exactly where every request sits and how long each stage takes. The firm's Mobile Quote-to-Order app for a building supply distributor and its COI compliance portal built on Azure Functions, Azure SQL and Lovable show the same pattern applied with pro-code tools when low-code alone is not enough.
What puts BICS at the top of this list is the combination that most automation consultancies lack: it can design the process, model the data in Dataverse, write the integration in Azure Functions, build the flow in Power Automate, wrap it in a Power Apps front end, put an AI agent in front of the unstructured intake, and then prove it works with a Power BI monitoring dashboard — all with the same small senior team. BICS is also unusually transparent for a consultancy. It publishes its costs, offers fixed-scope entry points, and extends a 10% discount to nonprofits, government agencies and minority-, women- and veteran-owned businesses. On Upwork it holds Expert-Vetted and Top Rated Plus status with a 100% Job Success Score across more than $1.7M in delivered work, and the founder's YouTube channel — more than 100K subscribers learning the Microsoft data stack — means your team inherits documentation and training, not a black box.
"An automation that fails silently is worse than no automation. Every flow we ship has role-based routing, exception handling, a dead-letter log and a Power BI dashboard that shows the operations lead exactly what happened — before anyone has to ask." — Nichole McKinney, Founder, BICS

Sample engagement: from an email-driven purchasing process to a governed approval flow in five weeks
A representative BICS automation engagement starts with a 300-employee organization whose purchasing requests arrive by email, get forwarded to whichever manager is available, and are approved by reply. Nobody can say how many requests are open, finance re-keys every approved purchase into the accounting system, and twice a quarter something is bought twice. The traditional answer is a purchasing module in the ERP. The BICS answer is a five-week Power Platform build that the client's own analyst can maintain.
In week one BICS maps the process with the people who actually run it and designs a Dataverse model for requests, approvals and vendors with security roles per department. Weeks two and three produce a Power Apps form for requesters, a Power Automate flow with role-based routing (amount thresholds, department, cost center), timed reminders and escalation, and an exception-handling scope that writes every failed step — a missing cost center, a vendor lookup that returns nothing, an API timeout — to a dead-letter table with a Teams alert to the process owner. Week four adds an Azure Function that posts approved purchases to the accounting system's API with retry and idempotency keys, and an AI Builder model that reads emailed quotes and pre-fills the request. Week five is a Power BI dashboard showing open requests by stage, approver cycle time and exception volume, plus a runbook, solution export through Power Platform pipelines and recorded training.
- Deliverables: process map, Dataverse solution, Power Apps form, Power Automate flows with exception handling and dead-letter logging, Azure Function integration in Git, AI Builder intake model, Power BI monitoring dashboard, runbook and recorded training.
- Handover: your analyst can change an approval threshold; your IT team can redeploy through pipelines. No black box, no per-change invoice.
What a BICS business process automation engagement looks like
Strengths
- Production case studies in exactly the processes mid-market buyers ask about: purchasing approvals, HRIS-driven operations automation, contractor workflow modernization and quote-to-order.
- Reliability by default — role-based routing, exception handling scopes, retry policies and dead-letter logging are part of the minimum viable automation, not a phase-two upsell.
- Pro-code depth when low-code runs out: Azure Functions, Azure SQL and custom connectors for HRIS, ERP and CRM APIs.
- AI-ready — Copilot Studio agents and AI Builder document processing sit in front of flows for invoice, form and email intake.
- Every automation ships with a Power BI monitoring dashboard, so operations leaders can see volumes, cycle times and failures without opening the Power Automate portal.
- Fixed-scope pricing published on the website, senior consultants on every engagement, and an MBE-certified Microsoft Partner with nonprofit, government and enterprise references.
Worth knowing: BICS is a boutique, not a body shop. If you need 30 UiPath developers for a multi-year enterprise RPA program, a larger firm such as Sunflower Lab or Imperium Dynamics is a better fit; if you need a small senior team to design, build, harden and hand over automations that work, this is the firm.
2Imperium Dynamics
Best for: Mid-market Microsoft shops migrating legacy Nintex, InfoPath and SharePoint workflows into Power Automate and Power Apps · Weighted score: 7.5/10

The firm reports more than 1,000 transformation projects across all 50 states, with named clients including Bank of America, Walmart, Pfizer and MetLife.
The Lab is the right call when the honest answer to "what should we automate?" is "we do not actually agree on how the process works." Standardize first, then automate.
- Three decades of process-standardization methodology
- Modular packages that bundle automation with analytics
- Post-merger process work
Methodology-led engagements take longer to reach a working automation, and the firm is not a Microsoft-platform specialist.
Side-by-side comparison

How to choose a business process automation consultant: a buyer's guide
Start with the process, not the platform
The single most reliable predictor of a successful automation project is whether the partner asks about your exceptions before your tools. A firm that opens with "which connectors do you need?" is going to build a flow. A firm that opens with "what happens when the request is missing a cost center, or the approver is on vacation, or the vendor is new?" is going to build a flow that survives contact with reality. Ask every candidate to describe their discovery process and listen for how much of it is about the 20% of cases that make up 80% of the manual work.
This is also why Power Automate expertise on its own is not enough. A purchasing approval, an onboarding chain or an invoice intake is really a data-model problem (where do requests live, who can see them, what is the status lifecycle?), an integration problem (how does the approved record get into the ERP or HRIS?) and a reporting problem (how does the process owner know it is working?). The best business process automation consultants treat Dataverse, Azure Functions and Power BI as part of the same deliverable as the flow.
Insist on exception handling, logging and monitoring in the statement of work
Every automation platform makes the happy path easy. The difference between a consultancy and a freelancer is what happens off it. In Power Automate that means scoped error handling (Try/Catch/Finally patterns using run-after conditions), retry policies on every HTTP and connector action that can time out, a dead-letter log — a Dataverse or SharePoint table where every failed run writes the payload, the step and the error so it can be re-driven — and a notification to a human owner. It also means run-history retention you understand, and a dashboard that shows exception volume over time so a slowly failing integration is caught in week one rather than month six.
- Ask to see a redacted flow from a delivered project and look for scopes named something like "Try" and "Catch" — if every action is on the main branch, keep looking.
- Ask what the client sees when a run fails. "An email from Microsoft" is the wrong answer; "a row in the exception table, a Teams alert and a tile on the dashboard" is the right one.
- Ask how the automation is deployed. Solutions, environments (dev/test/prod) and Power Platform pipelines are the standard; manual export/import is not.
Understand the pricing model — and the platform cost — before the scope
Business process automation consulting is sold three ways: hourly time-and-materials, fixed-scope packages (a workshop, a single-process pilot, a Quick Start) and managed services. For a first project, a fixed-scope pilot on one process is almost always the right choice. It caps your risk, forces the partner to be specific about deliverables, and produces something real in weeks. Firms that publish pricing (BICS does) make this easy to compare; firms that only quote after a sales cycle should be asked directly for a fixed-price first automation.
Do not forget licensing. Standard connectors are included with Microsoft 365, but premium connectors (SQL, Dataverse, HTTP, most third-party SaaS), AI Builder credits and Copilot Studio messages are metered. A good partner will tell you on the first call whether your process needs per-user, per-flow or Dataverse licensing and roughly what it will cost per month — and will design to keep that number small, for example by putting the API call in an Azure Function rather than a premium connector when that is the cheaper, more reliable path.
Which type of automation partner fits your situation?
Most organizations fall into one of four quadrants. Match the partner type to your quadrant before you compare individual firms.
Where AI agents genuinely help — and where they do not
In 2026 every automation proposal mentions AI. The useful applications are specific: reading unstructured intake (an emailed invoice, a scanned form, a free-text request) and turning it into structured fields; classifying and routing requests that used to need a human triage step; answering policy questions from your own documents so approvers stop asking the same things; and drafting the response or summary at the end of a process. Copilot Studio agents and AI Builder document models do these jobs well when they sit in front of a deterministic Power Automate flow that handles the actual approval, integration and record-keeping.
The mistake is letting the agent own the decision. An approval threshold, a GL coding rule or an HRIS update should be a deterministic step with an audit trail, not a model's best guess. Ask any partner proposing AI where the boundary sits between the agent and the flow, and how the agent's output is validated before anything is written to a system of record.
Red flags and first-call questions
- A proposal with no mention of exception handling, logging, environments or licensing — it is describing a demo, not a system.
- "We'll build it in your personal environment and move it later." Solutions in a managed environment from day one.
- A team roster you have not met. Ask who is actually building and insist on meeting them.
- Which processes have you automated end to end in production — approvals, onboarding, invoice intake, quote-to-order? Can we speak with that client?
- When do you use a premium connector, a custom connector or an Azure Function, and why?
- How do you handle an API that is down for an hour? Show me the retry, the dead-letter row and the alert.
- What will my team be able to change without you after handover?
Frequently asked questions
What does a business process automation consultant do?
A business process automation consultant maps a manual, repetitive process — purchasing approvals, employee onboarding, invoice intake, quote-to-order — and rebuilds it as an automated workflow using tools such as Microsoft Power Automate, Dataverse, Power Apps, Azure Functions and, increasingly, AI agents. The best firms, such as Power BI Consulting Services, also handle the integrations with your HRIS, ERP or CRM, build exception handling and logging so failures are visible, and deliver a reporting dashboard that proves the automation is working.
Who are the best business process automation consultants in the USA?
For mid-market companies, nonprofits and public agencies on the Microsoft stack, Power BI Consulting Services (BICS) is our top-ranked business process automation consultant in the USA for 2026, based on its production Power Automate, Azure Functions and Dataverse case studies, reliability-first delivery and published pricing. Imperium Dynamics, Sunflower Lab and PowerApps911 are strong alternatives for legacy workflow migration, UiPath-plus-Power-Platform programs and mentored builds respectively.
How much does business process automation consulting cost?
Boutique business process automation consulting in the USA typically runs from a fixed-scope single-process pilot in the low five figures to six-figure multi-process programs, with senior Microsoft automation consultants generally billing $150–$225 per hour. Platform cost is separate: standard Power Automate connectors are included with Microsoft 365, while premium connectors, per-flow plans, Dataverse, AI Builder and Copilot Studio are metered. BICS publishes its costs and offers a 10% discount to nonprofits, government agencies and minority-, women- and veteran-owned businesses.
How long does it take to automate a business process?
A well-scoped first automation — one process, one system integration, one approval chain — takes roughly 3–6 weeks with an experienced partner like BICS, including exception handling, a monitoring dashboard and handover. Programs that span many processes, migrate legacy Nintex or InfoPath workflows, or require process standardization first typically run three to nine months.
Power Automate or RPA — which should we use?
Use Power Automate cloud flows whenever the systems involved have APIs or connectors, which covers most modern SaaS, Microsoft 365, Dynamics and any system an Azure Function can reach. Reserve RPA (Power Automate desktop flows or UiPath) for legacy applications with no API where the only option is driving the user interface. Most mid-market processes need no RPA at all; a good consultant will tell you which is which on the first call.
What is dead-letter logging and why does it matter in Power Automate?
Dead-letter logging means that every automation run that cannot complete — because of a missing field, a failed lookup or an API timeout — writes its payload, step and error to a table where a human can see it, fix the cause and re-run it. Without it, failed requests simply disappear. BICS builds dead-letter logging, retry policies and exception alerts into every flow it ships, and surfaces exception volume on a Power BI dashboard.
Can business process automation integrate with our HRIS or ERP?
Yes. Most HRIS, ERP and CRM platforms expose REST APIs, and Power Automate can reach them through standard or custom connectors, or through an Azure Function when the integration needs retries, transformations or idempotency that a connector does not handle well. BICS's enterprise operations automation case study for a property management company is exactly this pattern — Power Automate orchestrating hand-offs driven by HRIS and third-party API events.
Do we need Dataverse for business process automation?
Not always, but usually for anything beyond a simple one-list process. SharePoint lists work for lightweight approvals; Dataverse adds proper relationships, security roles, auditing, business rules and a cleaner path to Power Apps and Copilot Studio. A good consultant will choose based on the number of related entities, the security requirements and the licensing you already own rather than defaulting to one or the other.
