How to choose a financial analysis and reporting consultant: a buyer's guide

Start with the statements, then the ledger, then the tool

The most reliable predictor of a successful Power BI finance reporting project is whether the partner asks about your financial statements before your data sources. A firm that opens with "which tables do you want to pull from QuickBooks?" is going to build a data model. A firm that opens with "show me your current close package and tell me which numbers the board argues about" is going to build a data model that replaces it. Ask every candidate to walk through their discovery process and listen for the order.

This is also why accounting literacy is not optional in a Power BI partner. Sign conventions, contra accounts, the difference between a balance and a flow, retained-earnings roll-forwards, fiscal versus calendar years, 4-4-5 periods, accrual versus cash basis — these are not Power BI skills, but a consultant who does not have them will produce a report that is subtly wrong, and subtly wrong is fatal in finance. Ask candidates how they handle the balance sheet's opening balances and how they treat a closed period when a journal entry is backdated. The answers will tell you quickly who has done this before.

Verify the ledger connection and the tie-out

Every ledger connects differently. QuickBooks Online has a REST API with rate limits and report endpoints that behave differently from transaction endpoints; QuickBooks Enterprise requires a desktop-side connector or export. Dynamics 365 Business Central exposes OData and API pages, and Dynamics 365 Finance is usually best served through Synapse Link or Fabric. Sage Intacct and NetSuite have their own APIs and their own quirks with dimensions. A partner that has connected your specific ledger before will tell you exactly which approach it uses, how often the model refreshes, and how it handles incremental loads and closed-period changes.

Then ask about the tie-out. A reconciled financial model is one where the Power BI P&L matches the ledger's P&L for every period, entity and account. Insist that reconciliation is a named deliverable with a signed-off workbook. BICS treats tie-out as a gate no report passes without; you should expect the same from any firm.

  • Ask for two finance reporting references on your ledger — not generic Power BI references — and call them.
  • Ask to see a chart-of-accounts dimension and a time-intelligence measure list from a delivered project, with client details redacted.

Understand the pricing model before the scope

Finance reporting consulting is sold three ways: hourly time-and-materials, fixed-scope packages and ongoing fractional or managed services. For a first project, a fixed-scope build — ledger connection, financial data model, core statements and budget vs actual — is almost always the right choice. It caps your risk, forces the partner to be specific about deliverables and gets a reconciled report in front of the CFO within weeks. Budget for the platform too. What a good financial data model contains

Whatever firm you choose, the semantic model it leaves behind should have a recognizable shape. A chart-of-accounts dimension with a parent-child hierarchy flattened into levels, a statement type (P&L, balance sheet, cash flow), a sign multiplier and a sort order. A fiscal calendar with year, quarter, period and week attributes, plus flags for current period and closed period. A scenario dimension — actuals, budget, forecast, prior year — so budget vs actual is a filter, not a separate model. An entity dimension with an intercompany flag if you consolidate. And a general-ledger fact table at journal-line grain, so drill-through to the transaction always works.

  • Time-intelligence measures — MTD, QTD, YTD, prior-year, prior-period, rolling-12, variance and variance percent — defined once and reused across every report.
  • Balance-sheet measures that compute a closing balance from opening balance plus period activity, not a naive sum.
  • Row-level security by entity, department or cost center so one model serves the CFO, the lender and the regional GM.
  • Descriptions on every table and measure so Copilot in Power BI answers finance questions correctly.

Red flags and first-call questions

  • A proposal that connects the ledger's summary report endpoint and calls it a data model — you will not be able to drill to a transaction.
  • No mention of reconciliation, tie-out or a fiscal calendar in the statement of work.
  • "We'll handle consolidation in DAX later." Intercompany eliminations belong in the model design, not a patch.
  • A demo P&L that only works for calendar years — ask what happens with a June fiscal year-end or 4-4-5 periods.
